Hotel tax wants the nights you sold, and the report is due by the 15th of the next month.
Ask about a night
When the product is a night
For someone who sells a room, the question is the night, the tax on the night, and whether the books can tell those apart. The city reported a 7 percent hotel occupancy tax for the recent fiscal year, plus a 2 percent venue tax. Operators file monthly reports with the city finance department by the 15th of the following month.
That 15th does not care that a wedding weekend blew up the front of the house. The report wants the nights, the exemptions that are real, and the money that actually arrived. We close the month first, so the report reads nights that were already tied to the bank.
A Friday that has to become numbers
A full house feels like success, and it is, and it is also a pile of deposits, card fees, and comps. Comps are not the same as cash. A room given to a crew is not the same as a room sold. The books should say which. If they do not, the tax report and the income start to tell different stories, and notices love a difference.
The McAllen Convention Center district is part of how the town hosts people. Any Texan can understand the pride in a full weekend, the lights, the lobby noise, the tired staff. We understand it from our side of the state. Then we ask which of those nights are still unbatched, because an unbatched night is not a closed month.
We have no counter in that lobby. The work is remote. You keep the keys. We keep the tie out. Payroll for the house, if you have staff, is set up in your name. The Friday pay for a full house stays on your provider once that setup exists.
The 15th and the return
Hotel tax is monthly. The income tax return is annual. The nasty surprises happen when the monthly reports were filed from a spreadsheet that never met the bank. We would rather the spreadsheet be the books, or be thrown away. One set of nights. One set of deposits.
If a night is exempt, keep the reason where we can find it. If a night was cancelled and the deposit stayed, say what the deposit became. Refunds in the next month should not silently repair the last one. A Saturday night near the convention center stays in that Saturday's month, even if the card batch clears on Monday.
Statements for a lender follow the same rule. A lender can read a month that matches. A lender should not be handed a month that was averaged. We will not average one to make a package look smooth.
If the rooms are only part of the trade
Some owners have rooms and a restaurant, or rooms and a shop. Hotel tax on the night and sales tax on the plate are two different answers, and a mixed house has to keep them apart in the books. The sales page covers the plate. This page stays with the night.
Tell us the last month the night audit felt true. We can start there. Older months get cleaned up without being allowed to contaminate the one you are about to file.
The month you can name
Tell us the trade and the last month the bank already agrees with.
